Hi Band Parents,

We’re looking for our next Band Booster Treasurer… or, even better, two co-Treasurers! Before your eyes jump down to the responsibility list and you quietly close this email, hear us out. 😊🙏

Our current Treasurer will be serving one more year, which means you’ll have the opportunity to shadow, ask questions, and learn everything before taking over next year. You won’t be handed a checkbook and wished good luck!

If you have experience with finance, accounting, bookkeeping, budgeting (or if you’re simply the kind of person who secretly enjoys a good spreadsheet) you’d be a great fit. And because it’s an important role, we’d love to find two volunteers to share the position. Teamwork makes everything better!

So… what does the Treasurer actually do? (Yes, this list looks long, but many of these items are monthly or annual tasks, and you’ll have a year to learn them!)

• Prepare the annual budget with the Board
• Write checks for staff, purchases, and approved expenses
• Deposit checks and cash (excluding student dues)
• Enter accounting transactions into BoosterHub
• Reconcile bank accounts in BoosterHub each month
• Prepare financial information for the CPA for annual tax filing
• File annual 990 forms for staff
• Renew the band’s insurance each year
• Renew the annual State Solicitation License
• Coordinate with the PCI and PCIC Chairs to determine income from events
• Review reimbursement requests submitted by staff and board members
• Attend monthly Board meetings

It sounds like a lot on paper, but once you get into the rhythm, it’s very manageable, especially with a partner and a full year of mentoring from our current Treasurer. And being on the Board is also one of the best ways to see what happens behind the scenes to keep our incredible band program running. You’ll get to know the inner workings of the organization while making a huge difference for our students.
